Extended Privacy Notice for The Teapot Collective

When, how and why will The Teapot Collective hold my data?

This privacy notice relates to the data collected via the following services:

  1. Venting with Amy
  2. Exploring Race, Culture & Identity
  3. Unpacking Our Past
  4. History for Liberation

If you are accessing the following services then you may have filled out a form including your personal details. 

​​The information provided in these forms are for the following reasons:

  1. to inform me about you, your situation and how best I can support you. 
  2. Your contact information for safeguarding purposes whilst you access support with me
  3. Your demographic data in order to contribute towards internal research around equity, diversity and inclusion.

Demographic Data

Demographic data will be stored anonymously (without your name) and will be used internally to develop a more inclusive service at The Teapot Collective. If you choose to not consent for us to use your data for this research your data will be deleted after one year of no contact. 

If I ever ask you for any demographic data I will always include the following statement which allows you to opt-in or opt-out. 

If you feel comfortable please do fill out the demographic questions below as this will support me with understanding who already feels confident to access this service and also how I can make the service accessible, safe and comfortable for people who feel less confident and able. This information will be used internally anonymously (without your name) to understand whether Venting with Amy is accessible. With your consent this anonymous demographic information can support the inclusivity of the service. Please indicate the option you are happy with:

Your right to withdraw

You have the right at any point to change your mind about what you originally decided when accessing my services. Please contact me and I will delete your data with immediate effect. If you choose to provide your data at a later date I would also welcome that information.

Information about Data Protection

The Data Protection Act (2018) sets out in UK law the legal framework with which organisations must comply when they process the personal data. Providing accessible information to you about the use of your personal information (data) is a key element of your legal right to transparency as set out in the UK General Data Protection Regulation (UK GDPR). 

Data Controllers and Data Processors are responsible for providing this information and they have a duty to inform you (known as Data Subjects) on how they process the data that is within their control. 

Definitions (from gov.uk)

• Data controller – The organisation who (either alone or in common with other people) determine the purpose for which, and the way data are processed. 

• Data Processor – A person or organisation who process data on behalf of and on the orders of a controller 

• Data Subject – the person about whom you are processing data. 

• Data Protection Officer – an officer of the education establishment or local authority who is responsible for data protection issues within the organisation. 

• Personal Data is classed as any information which on its own or in conjunction with other information available to a Data Controller can identify a Data Subject. 

• Some Personal Data is classed as being part of a special category and if you control or process a special category you need additional reason to process the data. 

UK GDPR specifically defines ‘special category’ as data relating to: 

• racial or ethnic origin 

• political opinions 

• religious or philosophical beliefs 

• trade-union membership 

• health or sex life 

• Data relating to criminal offences is also afforded similar special protection. 

For the purposes of data protection legislation, the terms ‘process’, ‘processed’ or ‘processing’ apply to any activity involving the personal data, such as: 

• collecting 

• storing 

• sharing 

• destroying
